SCIFI Board Meeting 12-Jan-2002

Fan Gallery Status Report

Rev. 28-Mar-2002
Summary:

At the SCIFI Board of Directors Meeting in October 2001, Christian B. McGuire and Chaz Boston Baden accepted responsibility for the "Fan Gallery" which Bruce Pelz had been in charge of since its inception in 1997. At that meeting, the Board authorized the purchase of new shipping cases for the Fan Gallery.

Two shipping cases were purchased from "New World Case, Inc." of Uxbridge MA. After the Fan Gallery (consisting of 179 photos) was exhibited at Loscon 28, the photos were all packed into one of the new shipping cases for storage. The shipping weight of the case with those photos and the mounting hardware (pegboard hooks and binder clips) is currently 82.2 lbs.

Bruce Pelz has turned over a box full of old negatives, some recent photos, two ready-to-frame 5x7s of the Shibanos, half a dozen empty frames, and other miscellany to Chaz and Christian. The new photos that Bruce had shot or collected are being enlarged and added to the Fan Gallery, along with a few others.

The Fan Gallery is growing. As of today there are 196 photos in the Fan Gallery. The "core collection" of living NASFiC/Worldcon chairs, NASFiC/Worldcon fgohs, Fan Hugo Winners, and International Fan Fund Winners currently stands at 59 photos. There are slightly more than 300 names on our "Wanted" list.

We expect to "go digital" in that future contributions to the Fan Gallery will come from digital cameras, or from regular color print film with a "Photo CD" requested from the developer. In the samples on display today, the photo of Chaz is digital; the pictures of Marty Cantor, Mark Merlino, and Rod O'Riley were all shot with Chaz's digital camera; and the photo of Mike McInerney came off of a Photo CD that he sent us.

A plain ordinary (text-only) web page for the Fan Gallery has been put online at www.scifiinc.org/gallery. It lists the names and captions for the existing Fan Gallery, a list of fans we are seeking photos for, and suggested guidelines for contributing photos. We've received a few unsolicited (and, alas, unusable) photos already. And some of the people (including folks on the list) have offered to take photos of others on our "want list" for us. We've already received a Photo CD from Mike McInerney, for example.

A project to scan in the existing Fan Gallery photos and put them online will commence shortly. We will contact the photographers for their permission; Mark L. Olson has already given blanket permission for all uses of his photos in the Fan Gallery.

"Inactive Fans" are fans who've stopped moving (i.e., deceased). Before we display the Fan Gallery at Con Jose, we'll go through all of the photos and put black borders around their photos.

We need to go through the archival negatives and original snapshot prints, and identify who is where, in case we ever need to replace a damaged or lost photo.

We are currently in negotiation with Con-Dor and Windycon for appearances of the Fan Gallery. Christian and I are limiting our talks to cons that one or the other of us will be attending. The hosting convention is asked to pay any shipping charges (both ways). The cost to ship the entire collection to and from Chicago via UPS Ground Service, insured for $1500, is $90. (Just shipping the Core Collection would be somewhat cheaper.) The hosting convention needs to provide at least three "art show panels" or their equivalent in order to have a reduced subset of the Fan Gallery on display.
